As the company UI/UX designer for this internal initiative, I partnered with the Engineering Manager to digitise and streamline the company’s Investigation Request/Change Note (IRCN) workflow.
Prior to this project, tracking engineering tasks was an entirely manual, paper-based process. A physical Word document was printed and literally "walked around the office" for cross-departmental handoffs. This legacy system was highly inefficient, lacked security, and created significant operational friction.
Discovery & User Research
My first priority was to map the existing workflow and deeply understand user pain points. I conducted stakeholder interviews and user research sessions with the engineering team to uncover core requirements, identify systemic bottlenecks, and define the scope of the digital solution.
Information Architecture & Wireframing
Using these insights, I translated complex business logic into an initial content storyboard to map out user flows and information hierarchy (see the examples shown here). Through iterative design cycles and feedback loops, I this evolved into a comprehensive set of low-fidelity wireframes, ensuring every screen was optimised for task management efficiency.
UI Design & Implementation
Once the UX framework was approved, I developed a clean, intuitive, and accessible user interface using our established brand guidelines. After securing stakeholder approval on the high-fidelity designs, I collaborated with our in-house engineering team to ensure a seamless technical build and implementation.
Measurable Outcomes & Impact
The launch of the IRCN database completely transformed the team's daily operations:
Operational Efficiency: It drastically reduced task creation times and eliminated physical handoffs.
Enhanced Visibility: It introduced real-time tracking of task ownership, contributor involvement, and project statuses.
Centralised Communication: Integrated contextual messaging directly within the UI, eliminating fragmented communication silos. This information was all logged on-line for future reference if needed.
Data-Driven Leadership: I Designed a high-level dashboard that empowers managers with at-a-glance metrics. An example of such was the total open and completed tasks and individual workloads. This enabled smarter resource allocation and capacity planning for the team.
